As a registered society the GAP is a non-public party. Its primary activity is not the processing of data or processing of special types of data (e.g. health data). The GAP processes your data only in the interest of managing the society’s ends. Less than 10 people are continuously involved in the data processing. Therefore, neither the European Union’s General Data Protection Regulation (GDPR) nor the new German Federal Data Protection Act obliges the GAP to designate a data protection officer.
The GAP uses the personal data required for the administration of its members. This data is provided by you in your membership application. The data processed by the GAP includes:
Your personal data is collected when you apply for membership and will be corrected if you send us a message with a request to do so.
The processing of your data serves the management of our statutory aims. In accordance with the society’s statutes personal data is used primarily to inform GAP-members and to collect membership fees, or in order to allow for GAP-internal communication and information with regard to other contexts. This is in the interest of the GAP-members.
We process personal data in accordance with Art. 6 para. 1 lit. b) und lit. f) of the EU General Data Protection Regulation (GDPR). Accordingly, the processing of personal data is necessary for the fulfilment of a contract, of which the data subject is a party, and for the legitimate interests of the responsible party. A GAP-membership is a contractual agreement between a member and the society. The society’s statutes determine the society’s aims and thus also the purposes for which members’ data may be used. Therefore, no consent from you is required in the processing of your personal data.
Within the GAP, only persons working in the GAP-administration have access to your data. These are primarily the president, the treasurer and the managing director of the GAP, and the staff directly assisting them as well as the staff assisting in the preparation of the periodic congresses. The GAP uses IT when processing your personal data. Internet services are also used for this purpose.
The processing of your data is supported by IT service providers. For example, the GAP uses an online administration system in Switzerland, where the data of the GAP-member-administration are stored.
Your data will be stored for as long as it is required for your GAP membership. It should be noted that a GAP membership is intended as a long-term contract relationship that lasts for years. If the society no longer requires your data in order to fulfil contractual obligations, your data will be deleted on a regular basis.
